About the MRI Data Reporting Process

The Michigan Department of Community Health requires, as part of Certificate of Need approval for MRI Services, that MRI host sites must collect certain data on each MRI Scan and submit this data in a particular format on a Quarterly basis. Some of the data required includes: Date of Scan, Age of Patient, zip code of Patient, Referring Physician License Number, Region in which Scan was performed, whether the Patient was Sedated or had Special Needs, and how the patient expected to pay for services. Most of the data is coded, for example, the Scan Region of the Head = "1" and a patient paying with Medicare = "01". A computerized system can save a lot of time, but the cost of having something customized in-house often is not cost-effective, especially considering MDCH changes the specifications of the Data Requirements from time to time. By utilizing our services, the amount of time entering and validating data can be greatly reduced without a large initial investment compared to an in-house customized system.  When changes to the data requirements are made, you won't have to worry about whether or not a customized system is still supported.  Our website is always kept up to date.  Even if the data requirements stay constant, we are always trying to improve the website based on changes in technology and user recommendations.

Features of the MRI Data Reporting Website:

  • This reporting service is a great solution for Mobile Service Providers. MRI Host Sites all have different ways of collecting the data required by MDHHS. Host Sites who have never had MRI service or had service through a different mobile provider often don't have a system in place to collect data. We accept data in any format or give the MRI Host Site the option to enter data via my user-friendly website.

  • Fixed MRI Services are also taking advantage of my user-friendly website to enter data required by MDCH. We provide the flexibility and support to make the MRI data process easier by assisting in locating physician license numbers and contact information, checking the data for errors, duplicate records, and verifying visit and procedure counts. We prepare the data and complete the submissions as well as verify the visit counts match the MRI Utilization List as published by MDHHS.

  • Drop down menus make it easy to enter data, no memorization of codes required.  The site provides a central location for Physician contact information as well as a helpful link to MDHHS license number lookup.  Can't find what you're looking for, maybe encounter an out-of-state physician, just email us for personal service.  We can personally assist in finding physician license numbers or contact information as well as answer any other questions you might have about the MRI data.

  • Data is validated for every record that you enter.  Instant notification of errors saves time by allowing users to correct at the time of entry.  Errors can also be corrected later by simply clicking a button to show the list of records that contain errors. 

  • Error Reports are also sent at the end of the quarter that show any missing or invalid data, any possible duplicate entries, as well as a count of patient visits. Custom reports are also available for counts of patient visits by month or day as well as reports for counts of actual procedures. Other reports are also available as client requests.

  • Website is Secure with a current and valid SSL certificate.  To further enhance security, the site requires a 6 character minimum password as well as mandatory password changes every 6 months.
